Welcome! These terms outline the expectations and requirements for all vendors participating in our pop-up markets. By applying, you confirm your agreement to the following.
1. Vendor Eligibility
All vendors must offer original, handmade, upcycled, or vintage goods — and must demonstrate a clear eco-friendly commitment in their product, process, or packaging.
🌿 Eco-friendly practices are a requirement for acceptance.
We only accept vendors who incorporate environmental responsibility into their work.
We do not accept MLMs, mass-produced resale, or businesses without an eco-friendly focus.
2. Application & Acceptance
- Applications are reviewed on a rolling basis
- You’ll hear back within 7 days
- If accepted, vendors must confirm their selected payment option within the timeframe outlined in their acceptance email. An invoice will be issued based on that selection, and payment deadlines will be communicated accordingly.
- Applications may be declined if the product category is oversaturated or if eco-criteria are not met
3. Payment Terms
3.1 Acceptance and Invoicing
Submission of a vendor application does not guarantee acceptance. Vendors accepted to one or more Change Makers Collective markets must confirm their selected payment option before an invoice is issued. Invoices will be issued only after payment option confirmation and will reflect the option selected.
3.2 Payment Options
Accepted vendors may select one of the following payment options, as outlined in their acceptance communication:
a) Pay in Full – Multi-Market Commitment
Vendors who elect to pay in full at the time of initial acceptance will pay the full booth fee for their first accepted market and receive a discount of $10 off each additional accepted market paid in full at the same time. Payment in full secures all accepted markets included in the payment. No additional invoices will be issued for those markets.
b) First Market + Deposit for Additional Markets
Vendors may pay the full booth fee for their first accepted market and a non-refundable deposit per additional accepted market to hold those spaces. Remaining balances for each subsequent market are due six (6) weeks prior to the applicable market date. Failure to remit the remaining balance by the stated deadline will result in forfeiture of the deposit and release of the vendor’s space for that market.
c) First Market Only
Vendors may elect to pay only for their first accepted market. Selection of this option does not guarantee participation in any additional markets, which may be offered at a later date at the sole discretion of Change Makers Collective and subject to availability.
3.3 Deposits
All deposits are non-refundable, apply to specific markets only, and are non-transferable to other markets, events, or vendors.
3.4 Payment Deadlines & Forfeiture
All payment deadlines are firm. Any unpaid or overdue balances after the stated deadline may result in the immediate release of the vendor’s space without further notice. Released spaces may be offered to vendors on the waitlist.
3.5 Cancellations & Discounts
Multi-market payment discounts apply only when payment in full is made at the time of initial acceptance. Discounts are not retroactive and will be void if a vendor cancels one or more markets included in a discounted payment.
3.6 Agreement to Terms
By submitting an application and/or submitting payment, vendors acknowledge and agree to these payment terms and all other conditions outlined in the Full Vendor Terms & Conditions.
4. Cancellation & Refund Policy
- 30+ days before event: Full refund minus $25 admin fee
- 14–29 days before event: Refund only if a replacement vendor is found and approved; $25 fee applies
- Less than 14 days: No refunds
4.1 Application of Cancellation Terms to Payment Options
The cancellation and refund timelines outlined above apply to individual markets on a per-market basis. Where a vendor has selected a multi-market payment option, the following additional conditions apply:
a) Deposits paid to hold future market spaces are non-refundable under all circumstances.
b) Refund eligibility for any market applies only to amounts paid beyond non-refundable deposits.
c) Where a vendor has received a multi-market payment discount, cancellation of one or more markets may result in the discount being voided, as outlined in the Payment Terms.
d) Cancellation of one market does not automatically cancel participation in other accepted markets unless requested in writing.
All cancellation requests must be sent by email.
5. Weather & Force Majeure
- The market runs rain or shine
- No refunds for weather unless the event is officially cancelled by organizers
- We reserve the right to cancel or reschedule due to extreme weather or unforeseen circumstances
6. Booth Setup & Expectations
- Vendors must be fully set up 30 minutes before opening
- Bring your own tables, displays, and decor — chairs are provided
- 8-ft tables available to rent: $10/day (limited quantity)
- Indoor walls limited to 4 ft unless booking a wall space
- Outdoor vendors must bring their own tents (only available in July and September)
7. Conduct & Community Values
- Treat fellow vendors, attendees, and staff with professionalism and respect
- Help us build a positive, inclusive, and collaborative environment
- Comply with all applicable health and safety regulations
8. Eco-Friendly Requirement
All accepted vendors must clearly demonstrate one or more of the following:
- Use of recycled, repurposed, or upcycled materials
- Low-waste or plastic-free packaging
- Other verifiable efforts that reduce environmental impact
This is core to who we are. Applications that do not meet this requirement will not be accepted.
9. Youth Vendors
Vendors aged 18 and under receive 20% off booth fees.
Youth must be the primary owner/operator of the business. Proof of age is required.
10. Communication
- You agree to check your email regularly and respond promptly
- All confirmations, updates, and details will be sent by email
